Chateau Luxe Event Venue Policies
Tax and Service Charge
All food and beverage prices are subject to a 25% service charge, which is subject to change, and prevailing sales tax, currently at 8.6%, also subject to change. Tax-exempt organizations must provide a valid Arizona Certificate of Tax Exemption to the Catering Office along with their booking contract agreement.
Food and Beverage
Chateau Luxe is the exclusive provider of all food and beverage services for events. In accordance with Arizona liquor laws, Chateau Luxe is the sole authorized licensee to sell and serve liquor, beer, and wine on its premises. No outside food or beverages are permitted.
Overset and Set Maximums
For events with 100 guests or more, we will set up and prepare for 3% above the guaranteed guest count, not exceeding an overset of 50 people, including special meal requests. There is no overset for events with fewer than 100 guests. Special meal requests can be included in the guarantee or the overset. Any overset meals which are utilized are billed to the booking invoice at the meal price, plus $15.
Pricing
All food and beverage pricing can be guaranteed up to 90 days prior to the event.
Incidentals
Any incidental charges incurred during the event will be charged to the credit card on file.
Payment
A non-refundable deposit is required to secure the event date and will be applied to the final balance. Full payment, based on the anticipated attendance, must be received at least 14 days prior to the event. Accepted payment methods include cash, check, money order, cashier’s check, or credit card. If payment is not received within the specified timeframe, Chateau Luxe reserves the right to cancel the event and retain the deposit, and pursue collection of any unpaid balances. A signed BEO outlining final event details will serve as an addendum to the agreement, and the group will be responsible for the total amount due.
Receptions
For receptions not preceding a meal, there is a minimum food expenditure of $95.00 per person, excluding beverages, tax, and service charge. This includes seating for up to 50% of guests at cocktail tables, with additional standing room available. Full seating for all guests requires a minimum food expenditure of $125.00 per person, excluding beverages, tax, and service charge.
Health and Safety
Consuming raw or undercooked meats, poultry, seafood, shellfish, or eggs may increase the risk of foodborne illness, particularly for individuals with certain medical conditions.
Floor Plans
For events hosting 300 or more guests, floor plans must be submitted for approval to the appropriate local authorities at least 10 days prior to the event. Chateau Luxe will handle the submission process, and a fee of $650 per diagram will apply. Floor plans submitted less than 10 days before the event may incur additional fees.
Vehicles
If vehicles are to be displayed within the function space, approval must be obtained from the local fire department at least 10 days before the event, and all fuel must be removed from the vehicle prior to entry. A $850 fee per vehicle will be applied.
